Cocoa & Grapes Walking Tasting Food Tours of Carcassonne (hereafter “tours”)

1. General

Cocoa & Grapes and/or Joyce Halsey Gay (hereafter "Cocoa & Grapes") operate guided walking tasting food tours in Carcassonne, France. By engaging with Cocoa & Grapes and/or Joyce Halsey Gay and participating in one of their tours and/or any other activities mentioned on the Cocoa & Grapes website, site visitors accept all related terms and conditions, including any cancellation and deposit policies outlined herein. It is highly recommended that all participants purchase comprehensive travel insurance before arriving in France.

2. Participant Requirements

Cocoa & Grapes Tours are only suited to individuals aged 18 years and over, as they involve wine tastings and discussions (i.e. the tour is not oriented towards families with children under the age of 18). By booking, participants declare that they are aged 18 or over.

3. Booking Requirements

A minimum of 2 persons is required for any Cocoa & Grapes Tour. Bookings can be made directly through the Cocoa & Grapes website via the TicketingHub calendar, via our contact form, or by email. Private tours may be available at different prices.

4. Responsibilities

4.1. Responsibility of Cocoa & Grapes

Cocoa & Grapes offer products and services presented by supplier partners during the tours. Cocoa & Grapes will not be responsible for issues resulting from the use of its partners' products.

4.2. Customer Responsibility

  • Customers must arrive at the meeting place 5 minutes before the specified start time. Transportation costs to the meeting point are at the customer's expense. The tour price includes a guided walk (approximately 1.5km) of Carcassonne's Bastide and tastings of chocolate, wine and other food but does not cover personal expenses, discretionary purchases or special requests.

  • Customers must present a valid identity document if appearing to be under the age of 18. Minors are not permitted to participate in alcohol tastings unless accompanied and authorized by a parent. Customers are reminded to drink responsibly.

  • Participants are free to leave the tour at any time but are not entitled to a refund or discount. Customers with disabilities should confirm tour accessibility with Cocoa & Grapes in advance.

  • Customers must inform Cocoa & Grapes of any food restrictions upon booking or at least 1 week before the tour.

5. Pricing and Payment

5.1. Selling Price

Prices are indicated in euros and include all taxes applicable on the day of booking. Cocoa & Grapes reserves the right to modify prices at any time while guaranteeing the customer the price in force on the booking day.

5.2. Payment Terms

Payment can be made immediately upon booking online by credit card.  Our booking engine uses Stripe, a secure payment gateway. Deferred methods like bank transfer or euro cheque may be accepted, provided payment is received more than 30 days before the event date. Failure to pay by the due date may result in tour suspension or cancellation, with the deposit retained as compensation.

5.3. Deposits

Full payment, or a 30€ per person deposit, must be received by Cocoa & Grapes to secure the customer’s place on any tour. Customers choosing to make a deposit and then pay the balance on the day of the tour will pay an added fee of 5€ per ticket for handling the order.

 

5.4 Balance Payments

Any balance payments may be made on the day of the tour by credit card or cash, or by bank transfer or cheque 1 week prior to the tour.

6. Cancellations and Modifications

6.1. Cancellation or Modification by the Customer

Any modification of the booking by the customer after confirmation is subject to Cocoa & Grapes' acceptance. Different cancellation policies apply based on the type of tour booked. In most cases, cancellation is possible 1 month in advance for a full refund (less any charges retained by the payment method). Customers booking online may modify their booking up to 3 days in advance at no charge, as long as the booking requirements are met. 

6.2. Cancellation or Modification by Cocoa & Grapes

Cocoa & Grapes reserves the right to cancel tours due to exceptional unavailability (e.g. illness of the tour guide or provider partners) or dangerous weather conditions. Customers will be informed by email, phone, or text message. This cancellation will result in the reimbursement of the sums paid by the customer for the tour(s), without the latter being able to argue any prejudice. Cocoa & Grapes reserves the right to terminate a tour if, due to the behaviour of a customer, the rules of decorum and safety are not respected.

 

7. Follow-Up and Photography

7.1. Follow-Up Emails

After completing a tour, customers may receive up to three follow-up emails from Cocoa & Grapes with tour photos and soliciting feedback or reviews.

7.2. Photography

Photos taken by Cocoa & Grapes during tours remain the property of Cocoa & Grapes and may be used for advertising and marketing purposes unless customers explicitly state otherwise.

8. Privacy Policy

Details on the collection, use, and protection of personal information are outlined in the Cocoa & Grapes Privacy Policy.

9. COVID-19 Health Protocols

Participants may be required by law, or may opt, to wear face masks (except during tasting of course) and adhere to physical distancing rules during the tour. Shops visited will follow all safety protocols mandated by the French government.
